ABSTRACT
Objective: Effective management of pharmacy inventory is a critical responsibility for pharmacists, yet traditional paper-based inventory taking is both time-consuming and labor-intensive, with a heightened risk of manual errors that can affect inventory accuracy. To address these challenges, a medical center in southern Taiwan developed and implemented a cross-device inventory management system to optimize the inventory taking process and improve overall inventory management efficiency.

Methods: The cross-device inventory management system was developed using Classic ASP, incorporating responsive web design and hosted on the department’s IIS server. Pharmacists access the system via mobile phones or tablets through the hospital’s secure intranet, ensuring data security. Upon selecting a specific stock area, the system displays each medication’s storage location and appearance sequentially, facilitating an efficient inventory-taking process. Once each stock quantity is recorded, the system automatically progresses to the next item, ensuring that all medications are systematically accounted for. Additional features such as an on-screen calculator, real-time inventory status monitoring, and direct data import to the hospital’s inventory management system are incorporated, ensuring data integrity. This study analyzed staffing levels, overtime hours, and results from a pharmacist satisfaction survey conducted to evaluate differences as well as the added benefits before and after the system’s implementation.

Results: The cross-device inventory management system was first introduced in May 2023 at the medical center. Compared to traditional paper-based methods employed during the same period in previous years, staff attendance requirements decreased by 35%, while total overtime hours decreased by 52%. An effect maintenance analysis of the satisfaction survey among pharmacists revealed that the system significantly reduced the burden associated with paper-based processes. Additionally, the system also received an overall satisfaction rate of 95% for improving workforce flexibility and streamlining workflow processes.

Conclusions: The cross-device inventory management system provides clear advantages of optimizing the inventory process, reducing the manpower and time required for taking inventory, and enhancing staff allocation flexibility. These findings suggest that the system holds significant potential for enhancing the operational efficiency of outpatient pharmacy inventory management.
